What is the Autofill Feature?
The Autofill feature uses AI to automatically read freight documents (like PDFs and images) and extract key information — such as Load IDs, origins, destinations, and rates. This saves time and reduces manual data entry.
There are two ways to test this feature:

⚠️ Before You Begin: Select a Company
Every action in the system is linked to a specific company. Before testing Autofill, make sure the correct company is selected. If no company is selected, the upload area will be disabled and you will not be able to proceed.
How to select a company:
- Step 1: Look for the Company dropdown near the top of the page.
- Step 2: Click on the dropdown and select the correct company from the list.
- Step 3: The page will update to show files and data for that company.
Two Ways to Test Autofill

Method 1: Testing via the File Manager
The File Manager is the best way to test Autofill because it stores your files and gives you full control over which files get processed. Results here tend to be more accurate and easier to track.
📍 How to get there: In the left sidebar, click File Manager.
Step 1 — Select a Company
At the top of the File Manager page, you will see a Company dropdown. Click it and choose the company you want to test with. The file list below will update automatically.
Step 2 — Upload Your Files
Once a company is selected, the upload area becomes active. You can upload files in two ways:
- Drag and drop files directly into the upload zone
- Click anywhere inside the upload zone to open a file browser
Accepted file types: PDF, JPEG, PNG, TIFF, BMP — up to 25 MB per file
After uploading, each file will appear in a queue showing its name, size, and upload status.
Step 3 — Find Your Files in the Table
Once uploaded, your files appear in the Managed Files table below. Each row shows:
- File name and type
- File size
- Upload date
- Status (Uploaded, Processing, Completed, or Failed)
Step 4 — Send Files to Autofill
To send a single file:
- Find the file in the Managed Files table.
- Click the 🧠 brain icon button on the right side of that file’s row.
- A small dialog will pop up confirming the job has been submitted, showing a Job ID and status.
To send multiple files at once:
- Check the checkbox next to each file you want to process.
- A blue button will appear at the top right of the table: “Send X file(s) to Autofill”
- Click that button to submit all selected files at once.
Step 5 — Check the Status
After submitting, watch the Status column in the Managed Files table to see progress:

| Processing | The AI is currently reading and analyzing the file. |
| Completed | Processing is done. Results are available. |
| Failed | Something went wrong. Try re-uploading or contact support. |
Method 2: Testing via the Autofill Section
The Autofill section is a quick way to test document classification without saving files to the system. It is great for a fast demo or one-off test.
📍 How to get there: In the left sidebar, click Autofill.
Step 1 — Select a Company
On the Autofill page, you will see a Company ID dropdown. You must choose a company before you can classify any documents. If you skip this step, you will see an error message when you try to proceed.
Step 2 — Upload Your Documents
Drag and drop one or more documents (PDFs or images) into the upload zone, or click to browse for files. Each uploaded file will appear in a list below the upload area, showing the file name, size, and a remove button.
Step 3 — Click “Classify”
Once you have uploaded your files and selected a company, click the blue button that says:
“Classify X file(s)”
The button shows how many files are ready. The system will process them and you will see a loading message while it works.
Step 4 — Review the Results
Once processing is complete, a Classification Results section will appear below. For each document you will see:
- The file name with a status icon: ✅ Green checkmark = high confidence | ❌ Red X = low confidence
- A confidence percentage (e.g. 87%) — higher is better
- The detected document type (e.g. “BOL”, “Rate Quote”)
- Extracted fields such as Load ID, Origin, Destination, Driver, etc.
💡 Tip: A confidence of 80% or above (shown in green) means the AI is highly confident. 50–79% (orange) means acceptable but worth reviewing. Below 50% (red) means the document may be unclear or the wrong type.
Step 5 — Clear and Try Again
When you are done, click the Clear button to reset the page and try another set of documents.

Tracking Results: The Documents Tab
After files have been sent to Autofill (through the File Manager), you can follow their progress and view the full results in the Documents tab. Think of this as your main dashboard for everything that has been processed.
📍 How to get there: In the left sidebar, click Documents.
What You Will See
The Documents page shows a table listing all files submitted to Autofill for the selected company. Each row represents one processed document:

| Document Type | The category the AI assigned (e.g. Bill of Lading, Rate Quote, Invoice). |
| Confidence | How confident the AI is — shown as a percentage. Green = 80%+, Orange = 50–79%, Red = below 50%. |
| Processed At | The date and time the document was analyzed by the AI. |
| Status | Current stage: Pending, Processing, Completed, or Failed. |
Viewing Full Details for a Document
Click on any row in the Documents table to open a detailed view. This gives you a complete breakdown of what the AI found, including:
- Document type — the AI’s classification (e.g. Bill of Lading)
- Detected type — the raw type detected, before any confirmation
- Confidence score — displayed as a color-coded badge
- Expiration date — if the document contains an expiry
- Extracted fields — all key data pulled out, shown in a two-column grid
- View original file — a link to download and open the original document
💡 Tip: Use the Refresh button at the top right of the Documents page to check for newly processed documents without reloading the entire page.
Understanding Document Types
Document Types are the categories that the AI uses to classify your uploaded documents — for example, a Bill of Lading, a Rate Quote, or an Invoice. The system allows you to define your own custom document types to improve accuracy over time.
📍 How to get there: In the left sidebar, click Document Types.
What Makes Up a Document Type?

| Description | An optional explanation of what this document type is used for |
| Custom Fields | The specific pieces of information the AI should extract — e.g., Load ID, Origin, Destination, Driver name |
| Field Types | Each custom field has a data type: Text, Date, Number, True/False, or Currency |
| Training Samples | Sample documents you can upload to help the AI learn what this document type looks like |
Note: You do not need to set up Document Types to start testing. The AI can still classify documents and extract fields automatically. Document Types just help the system become more accurate and specific over time.
